To administer a vaccine to a patient, the provider or nurse (depending on your practice's protocol) should add the vaccine order to Meditech. If the patient will be receiving more than one vaccine, go ahead and place an order for each vaccine to be administered. Orders need to be signed before vaccine administration so that the VaxHub can send the vaccine details back into Meditech.

Meditech will then send these vaccine orders to the VaxHub, which is a tablet/barcode scanner provided by VaxCare to facilitate patient check out. When you select the patient's name to scan out their vaccines, you will see the orders listed for that patient. To promote patient safety, any vaccines you scan that do not match the orders provided from Meditech will require a reason describing why you are administering a vaccine without an order. Any vaccines that are ordered but not scanned out will also require a reason describing why you are not administering an ordered vaccine. Any scanned doses that are expired or duplicate doses will also initiate an alert.

MEDICARE D PATIENTS

It is a CMS (Centers for Medicare and Medicaid Services) requirement to capture patient signature for any doses administered to a Medicare D patient. Therefore, VaxCare requires a copy of the signed VaxCare Consent Form for any Med D patient receiving TDAP or Zoster through VaxCare.

Once you have administered the patient's vaccine(s), please provide a copy of the patient consent form to your front desk representative or team manager.

Important note: If you delete a patient's vaccine from the VaxHub, please be sure to also delete this vaccine in Meditech as well.
