The doc is running behind, all Jane Doe wants to do is show you 87 photos of her cat as you're giving her flu shot, and you've got eight other patients to triage. You finally tear away from pictures of Butterscotch, but in your haste to move on to the next patient, you forget to scan out Jane's vaccine.

Life happens. Enter the Daily Check Out Report.

The Daily Check Out Report is found on the VaxHub, and we recommend spending about 30 seconds at the end of each day simply checking to be sure all of your patients were scanned out correctly.

First, log in to the VaxHub.

Then, tap on the menu in the top right corner and select Daily Check Out Report from the options below.

The Daily Check Out Report shows you 3 categories of patients:

  1. Checked-In: Shows all patients who were checked into the VaxCare system for the day.
  2. Checked-Out: Shows all patients who had a vaccine scanned out under their name.
  3. No Check Out: Shows patients who did not have a vaccine scanned out under their name.

You can see in the image above that the number of Checked-Out (1) and No Check Out (1) patients equals the total number of Checked-In patients (2). This is because every patient who is checked into our system is either checked out or not checked out. If you administered a vaccine to a patient, you must be sure their check out is complete, or VaxCare will not know you gave that vaccine.

To ensure we have scanned out our patients correctly, we can click on the Checked-Out tab and verify that Thomas Piper received only 1 vaccine on his Consent Form/EMR and that we scanned out 1 vaccine. He's good to go!

Next, we want to check to see if any of our No Check Out patients actually received a vaccine but we just forgot to scan them out. In this case, we can see that Jane Doe is listed as No Check Out.

We know Jane did receive a vaccine (she was busy showing us pictures of Butterscotch, remember?), so we would simply click on her name to take us back to the Check Out screen and enter the lot number of the vaccine she received, just as though we were checking her out in real time. Be sure to select COMPLETE so her information is sent to VaxCare!

Awesome job! You just reconciled all of your patients for the day! You're well on your way to a perfect inventory!

Note: If you have a patient listed under No Check Out who did not receive a vaccine, you can either leave them as a No Check Out on the Hub, or you can delete their appointment from the Scheduler on the Portal.
