We are prepped and excited for the 2018-2019 flu season! This article is going to outline important information about what to expect from your partnership with us this flu season.

Step 1: Confirm your VaxCare flu baseline in the portal

Baseline: At VaxCare we establish a Baseline for your flu-season. Your baseline is the total number of doses we anticipate your practice is going to need. This calculation is created by the amount of flu shots given with us last year or (for new partners) the number captured during the onboarding/sales process.

*Please submit your baseline before July 31, 2018.

Pre-book: If you have a pre-book still established with the manufacturer, please cancel the pre-book and utilize the 2018 flu baseline tool in the portal to submit your doses.

Step 2: Prepare to receive shipments

We intend to send you 20% of your baseline by the end of August and 50% by the end of September. The beauty of our system is that it's based on your vaccine utilization, which means we will send you additional flu vaccine as you need it, pending manufacturer availability. There is no need to order flu vaccine unless you’re scheduling a clinic. To find out how you can manage your flu orders click here.

Step 3: Manage existing inventory

Clinics or special orders:

If you expect to have a clinic or special event that will produce a spike in volume, you must provide a minimum of 3 weeks’ notice. You will be able to place your order in the Flu Management tool in the portal. If the order is approved, we will then get you the doses you need one week before your scheduled clinic. (*Ideally you should include your expected clinic doses in your originally baseline estimation.)

Halt Shipments:

As soon as you feel your practice has all the flu you will need for the season, you can go into the Inventory> Flu Management section of the portal and click "Halt Shipping" next to the product you would like to conclude for the season.

Flu Returns:

VaxCare will begin requesting flu returns starting April 1, 2018. You can contact help@vaxcare.com to schedule your flu-return pickup. If your practice is still administering vaccines, you may do so up until June 7, 2018. Any flu products not returned by June 15, 2018 will be charged directly to your practice.
