Our AVR system understands your typical vaccine usage and seasonal upswings and will, so long as you consistently use your vaccines, keep you stocked to what you need. However there may be times when you anticipate needing significantly more vaccines than you usually administer, like when scheduling a vaccine clinic or adding a new provider to your practice. In these cases, it is very easy to set up an order on the VaxCare Portal!
Log on to your portal and click the "Inventory" icon.
If you are ordering Flu you can do so from the "Flu Management" tab on the left. For non-flu you can order from the "AVR Management" tab. If you have multiple clinics, you'll want to make sure you have selected the correct clinic prior to placing your order.
From the AVR Management page, you can see the vaccine products on your contract, as well as "Doses on the Way", "Doses Pending", and "Order Status". Before ordering additional vaccines, please check the "Doses Pending" category to make sure we don't already have doses on their way to you!
Once you've checked your Doses Pending, scroll down the list of vaccine products until you find the one you need to order. Then click on the cart icon next to that product.
Once inside the cart icon pop-up, select the number of doses you need and the reason for your order. Then select "Add To Order."
Continue adding vaccines to your cart until you have selected all the products you need to order.
When you are done selecting products, click "Request Orders" in the top right corner of your AVR Management screen.
Review your order carefully and add any special office hours you anticipate for the week you are requesting doses to be delivered. We will have your usual hours listed, but we just need to know if your office expects to be closed for a holiday or in-service day. Please note that Fed Ex and UPS require at least a 4-hour window for your office to be open. Otherwise, you'll see that day of the week listed as a "no-ship" day.
If your order and hours are correct, simply click "Request Order" to finalize your vaccine request!
At this point, your order is sent to our VaxCare Inventory Team for review. Sending an order to VaxCare does NOT ensure that the doses will immediately go out to you. Our Inventory Team will review your order, approve the products and quantities requested, and send your office an approval email prior to shipping.
Once you receive an approval email, you can check the status of your order by clicking on "Order Status." This will show the tracking information and the estimated date/time of delivery.
